This notice explains how Origins Nexus (Pty) Ltd (“ORIGINS Nexus”, “we”, “us”) handles personal information submitted through our website, email, WhatsApp, diagnostic tools and client-engagement processes. It is a practical website notice and should be reviewed alongside the final client engagement terms.
1. Information we may collect
Depending on how you contact us, we may collect your name, contact details, company details, enquiry information, diagnostic results that you choose to share, meeting information, and documents required for a scoped engagement.
2. Why we use information
We use personal information to respond to enquiries, assess service fit, prepare proposals, deliver agreed services, maintain client records, meet legal or regulatory obligations, manage payments, protect our systems and improve service quality.
3. Website support and resource requests
When you submit the support form, we store the contact and business-stage information you provide, the support selected, your preferred response channel, the consent choices recorded and the date of submission. We use this record to assess and respond to the request. Do not submit identity documents, bank records, tax records or confidential source documents through the public form.
4. Marketing consent
Operational processing and electronic marketing are separate choices. The required processing consent allows us to assess and deliver the selected support. The marketing box is optional, starts unticked and records whether you want useful guidance, opportunities and promotional updates by email or WhatsApp. You may withdraw marketing consent at any time by using an unsubscribe method in a message or contacting us.
The Beneficial Ownership Template Pack is offered as a subscriber benefit. Requesting CSD or company-registration support does not require marketing consent.
5. Sharing and service providers
We may use reputable service providers for email, cloud storage, meetings, accounting, hosting and business administration. Access should be limited to what is reasonably required. We do not sell personal information.
6. Sensitive business documents
Do not send bank statements, tax records, payroll records, identity documents or confidential source documents through unsecured public forms. Once an engagement is accepted, we will confirm the approved document-delivery process and access controls.
7. Retention and security
We retain information only for as long as reasonably required for the stated purpose, contractual duties, legal requirements and legitimate recordkeeping. We apply practical access restrictions, password controls, document-handling procedures and review processes appropriate to the engagement.
8. Your rights
Subject to applicable law, you may request access to personal information, correction of inaccurate information, deletion where appropriate, or further information about how your data is handled.
